MagVault Shipping Update: Where Things Stand

Hey everyone,

Not the best update today, unfortunately. But I pride myself on being transparent and keeping you in the loop, especially when things aren't going to plan.

I can no longer confidently promise that MagVault orders will begin shipping in November.

I know that's disappointing news, and trust me, I'm incredibly frustrated with the situation too. I want to explain where things currently stand, what's caused these delays, and what the timeline is looking like from here.

Where are the shipments now?

First, some good news! We are making progress, even if it's been much slower than anticipated.

  • Australia: The shipment has been picked up!
  • European Union: Pickup is scheduled for October 24th.
  • United Kingdom: Still working through shipping arrangements and documentation.
  • United States: Still working through shipping arrangements and customs documentation.

All MagVaults have finished production and are ready to go. The delays are related to getting them from the factory to the fulfillment warehouses.

What happened?

I've organized international freight shipments plenty of times before, and in my experience, this part of the process has been relatively straightforward: production finishes, the shipping arrangements are finalized, and within about a week, everything is picked up and on its way. That's the experience I based my original timeline on.

This time around, things have been significantly more complicated. For this shipment, I worked with a new logistics partner who recommended using separate freight forwarders for each of our four fulfillment regions: Australia, the US, the UK, and the EU.

The idea was that each region could be handled by specialists familiar with its specific shipping and customs requirements. On paper, it makes sense, especially as we're expanding our international distribution.

In practice, though, coordinating four separate shipments, each with different freight forwarders, customs requirements, and documentation processes, has been way more difficult than expected.

There have been additional documentation requirements, unexpected customs complications, and communication delays between the various parties involved. I've also found myself acting as the intermediary between multiple teams to keep everything moving.

One of the biggest challenges has been the time differences. A team might request a document while I'm asleep. I wake up, receive the request, and reach out to another party to obtain it. Depending on their time zone and availability, it might take another day or two to get a response. I then pass that document back, only for another requirement to be identified.

Before I know it, an entire week has gone. Multiply that across four shipments and a missed document here and there, and you can probably imagine how quickly the delays have added up.

To be completely transparent, I'm not happy with how this process has gone at all.

I understand that international logistics can be complicated and that some requirements are outside anyone's control, but I do think there are opportunities for much better coordination, preparation, and communication.

Once the shipments are underway, I'll be reviewing the process with the teams involved to understand what went wrong and how we can prevent it from happening again.

I don't want to dwell on assigning blame. Everyone involved is working toward getting these shipments moving, and right now, that's what I am focusing on too. I also don't want to downplay how frustrating these delays have been, or pretend that everything is going according to plan when it isn't.

What's the timeline looking like now?

These are planning estimates, not guaranteed timeframes. Some shipments may move faster, and others may take longer.

Once the shipments are collected and on their way, this is the approximate timeline I'm working with:

  1. Ocean freight: Around 30 days.
  2. Customs clearance: Allowing 1–2 weeks.
  3. Warehouse receiving and processing: Approximately 1 week.
  4. Customer shipping: Begins once each warehouse has processed and made the inventory available.

Australia and the EU are currently further along, while the UK and US timelines will depend on when we can finalize their shipping arrangements.

One more complication: The holiday season

Unfortunately, these delays have pushed us much closer to the busiest shipping period of the year.

Fulfillment warehouses are about to be swamped with holiday orders, which may affect how quickly they can receive and process new inventory.

My US fulfillment warehouse has specifically advised that receiving new inventory won't be prioritized during the holiday rush. This is something I will be discussing with them, along with our other fulfillment partners, to see what options we have to get MagVaults processed and shipped as quickly as possible.

I don't want to promise that we'll be able to bypass these delays, but I am exploring what can realistically be done.

At this stage, December fulfillment is still possible for some regions, but there is a real risk that some orders won't begin shipping until January. I'd rather communicate that possibility now than keep giving you optimistic dates that I can't stand behind confidently.

What happens next?

My immediate priority is getting the UK and US shipments collected and on their way.

I'll continue sharing updates as each shipment reaches its major milestones: pickup, departure, arrival in the destination country, customs clearance, warehouse receiving, and finally, shipping to you.

Once everything is moving, I'll also have a clearer idea of when each region can expect to start fulfillment.

I know you've all been incredibly patient, and I'm so so grateful for that. I also know that patience and my gratefulness doesn't make delays any less disappointing.

I'm doing everything I can to move things forward, and I'm looking at how we can make the logistics side of the business much smoother for future shipments. If you have any questions or concerns about your order, you're always welcome to reach out to me at support@sphinxstationery.com.

I really wish this part of the journey had gone more smoothly, so thank you again for sticking with me through this.

Alyssa
